How payments to MailMama are handled and how customers can protect billing information.

This page explains how payments to MailMama Software LLC are processed, which payment methods are accepted, what information we do and do not hold, and how to recognize and report suspicious billing activity.

1. Accepted Payment Methods

MailMama accepts the following payment methods and no others. We do not accept cash, cryptocurrency, gift cards, money transfer services, or payment from a third party on your behalf.

  • Payment cards at checkout. Card payments are accepted through the checkout on our website and are processed by Stripe, our third-party payment processor.

  • ACH bank transfer, by invoice. Available on an invoiced basis rather than at checkout, subject to approval. Additional verification may apply.

  • Wire transfer, by invoice. Available on an invoiced basis rather than at checkout, subject to approval. Bank fees charged by the sending, intermediary, or receiving bank are not reimbursed by MailMama.

Invoiced payment methods are not available for all plans or all customers. If you require ACH or wire payment, contact info@mailmama.net before subscribing.

2. How Card Payments Are Handled

Card payments are processed by Stripe. When you enter card details at checkout, those details are transmitted directly to Stripe over an encrypted connection and are handled within Stripe’s systems.

MailMama does not receive, process, transmit, or store full payment card numbers, card verification values, or magnetic stripe data. What we hold is limited to the information our processor returns to us for account administration, namely the card brand, the last four digits, the expiry date, a payment token that cannot be used outside our account with the processor, and the result of the transaction.

Stripe is a payment service provider that maintains its own compliance with the Payment Card Industry Data Security Standard. That compliance belongs to Stripe and applies to its systems. MailMama does not itself hold a PCI DSS certification and does not claim one. Our position is that of a merchant that has outsourced card handling to a compliant processor so that cardholder data does not enter our environment.

3. How Bank Payments Are Handled

Where you pay by ACH or wire transfer against an invoice, the payment is made from your bank to our business bank account using the details shown on the invoice. We record the fact of payment, the amount, the date, and the reference, together with the originating account information that our bank makes available to us for reconciliation.

We will never ask you to send funds to an account other than the one shown on an invoice issued by us. If you receive a message claiming that our bank details have changed, treat it as fraudulent and contact us using the details at the end of this page before sending any payment.

4. Connection Security

Our website and application are served over encrypted connections using current transport encryption protocols. Checkout pages and payment flows are served over the same encrypted channel. Account credentials are stored using accepted one-way hashing methods and are never stored in readable form.

5. How Charges Appear

MailMama Software LLC is the seller of record for all transactions. Invoices identify MailMama Software LLC, and payment card statements show a descriptor identifying MailMama Software LLC. If you see a charge you do not recognize, contact us at info@mailmama.net with the subject line “Billing Enquiry” before raising a dispute with your bank. Contacting us is usually faster and does not affect your right to raise a dispute later.

6. Invoices and Records

An invoice or receipt is issued for every transaction and is available from your account. It shows the plan purchased, the subscription term, the amount, any tax applied, and the payment method used. Prices are exclusive of tax, and applicable tax is calculated and added at checkout or on the invoice based on the billing information you provide.

We retain billing, invoice, and transaction records for the period required by applicable tax and accounting law, as described in our Privacy Policy.

7. Subscriptions and Renewals

Subscriptions are billed in advance for the full term and renew automatically unless cancelled. For terms of one year or longer, we send a renewal reminder at least thirty days before the renewal date, identifying the plan, the renewal date, the amount, and how to cancel. You may cancel automatic renewal at any time from your account settings or by email, without giving a reason and without speaking to a representative. 8. Refunds and Disputes

Refund eligibility, windows, and procedures are set out in the Refund and Cancellation Policy. Refunds are issued to the original payment method. Where you believe a charge is incorrect, contact us at info@mailmama.net within sixty days and we will investigate and respond.

9. What We Will Never Ask You For

MailMama will never ask you, by email, by telephone, through a contact form, or through any support channel, to provide:

  • your account password or a code from an authentication app;

  • a full payment card number, expiry date, and card verification value together;

  • online banking credentials or a one-time banking code;

  • remote access to your device in order to complete a payment;

  • payment to a bank account other than the one shown on an invoice issued by us.

Any message that asks for these is not from MailMama. Do not respond to it and report it to info@mailmama.net with the subject line “Security Report”.

10. Fraud Prevention

We and our payment processor apply automated checks to transactions to detect fraud, including checks on billing information, transaction patterns, and sanctions screening. A transaction may be declined or held for review as a result. Where a transaction is declined for these reasons, we may ask for additional verification before the subscription is activated.

We may also decline to accept payment, suspend an account, or refuse service where a payment appears fraudulent, where payment is offered by a person other than the account holder, or where acceptance would breach sanctions or export control requirements.

11. Protecting Your Own Billing Information

  • Use a strong, unique password for your MailMama account and enable the security features available to you.

  • Keep the email address associated with your account current and monitored, since billing and renewal notices are sent to it.

  • Review invoices and card statements and report anything unexpected promptly.

  • Verify bank details against an invoice issued by us before sending an ACH or wire payment.

  • Restrict administrative access to your MailMama account to people who need it.

12. What This Page Does Not Claim

This page describes how payments are handled. It is not a certification, an audit result, or a guarantee. MailMama does not hold and does not claim any PCI DSS certification, security certification, audit attestation, or compliance accreditation of its own. No payment system, network, or control can be guaranteed to be secure. The disclaimers and limitations set out in our Terms of Service and Disclaimer apply to this page in full.

13. Changes to This Page

We may update this page when our payment arrangements change. The current version is always available at https://mailmama.net/ with the Effective Date shown at the top.
